Record an accurate opening position
An opening session identifies the cashier, profile and start of trading. Record the actual float in the cash drawer. If the next cashier uses a different session, make the handover explicit instead of leaving the previous user’s session open indefinitely.
Separate the float from sales receipts. Keep approved records of cash removed or added during the day, because the final count must be explained by more than sales totals alone.
Compare each payment method
At closing, review the transactions included in the shift and check for unfinished drafts, duplicate sales and approved returns. Count the cash independently, then compare it with the expected amount after opening float, cash receipts, change, refunds and documented movements.
For Credit Card, PayNow and Bank Transfer, compare the recorded amounts with merchant or receiving-bank evidence. An electronic payment total is not physical cash. A provider batch total may also differ from the bank deposit because settlement occurs later or fees are deducted.
Understand when ledgers are posted
Check POS Settings and the invoice type used by your installation. In the POS Invoice consolidation workflow, closing consolidates eligible POS Invoices into Sales Invoices, which produce the relevant accounting and stock postings. Review the closing result and any background processing errors.
ERPNext v16 can also use Sales Invoice mode for POS. In that mode, submitted Sales Invoices follow their normal posting workflow; do not assume that all ledger updates wait until closing. The shift still needs reconciliation. Custom apps can change behaviour, so confirm this in your own test environment.

Resolve differences and complete handover
Record a clear explanation for a shortage, overage or unmatched transfer and escalate it according to business policy. Do not invent an extra sale, alter the opening float or create a duplicate receipt just to make the totals agree.
Submit the closing entry only after reviewing its scope and amounts. Check that it completes successfully and retain its reference with settlement evidence. Where processing fails, investigate the existing entry before retrying; do not make a second closing entry blindly. Have the next cashier open their own correctly assigned session.
Common questions
Does every ERPNext POS sale post only at closing?
No. Posting depends on the invoice mode and version. POS Invoice consolidation and direct Sales Invoice mode have different posting behaviour.
What if the cash count does not match?
Recount, review change, refunds and documented cash movements, and escalate the difference. Keep an honest audit trail instead of changing unrelated transactions.
